Three typical enquiries

How Griffi takes the enquiry.

Scenario 1

Storm damage after a gale

Call: After a storm, tiles are missing, pieces are lying in the yard and water is dripping through the loft ceiling.

Questions Griffi asks

  1. Record the address, callback number and contact person on site.
  2. Ask straight away about danger signs: loose pieces that could fall, injured people, water near lights or sockets.
  3. Note what the caller can see: the affected roof area, the gutter, water inside and since when.
  4. Never ask anyone to climb onto the roof or a ladder, and give no instructions for sealing anything.

Outcome: If there is danger: keep clear and call the emergency services. Otherwise an urgent callback under your on-call rule, with every detail in the case. Griffi does not judge the damage over the phone.

Scenario 2

Re-roofing or a new roof covering

Call: A homeowner wants her old roof renewed and asks when someone can come round.

Questions Griffi asks

  1. Record the property type, address and roof shape; size and age only as the customer states them.
  2. Note wishes such as insulation, roof windows or new gutters.
  3. Clarify the preferred timeframe and access to the property.
  4. Offer a site visit or note a callback, depending on your setup.

Outcome: A complete enquiry with a site visit or a callback. You settle measurements, specification and price at the visit.

Scenario 3

A leak or a blocked gutter

Call: A tenant reports a damp patch on the ceiling, and the gutter overflows when it rains.

Questions Griffi asks

  1. Clarify whether the caller is the owner, a tenant or the managing agent, and who places the order.
  2. Note where the damp patch is, how big it is and since when.
  3. Record the building height and access, such as a yard, a driveway or the neighbouring property.
  4. Ask when someone can be on site for a visit.

Outcome: The case shows who places the order, what is visible and how your team reaches the roof. Your team finds the cause on site.

Quotes and invoices

Which documents Griffi prepares.

01 · Live

Site visit and measurements

Enquiry, property and the agreed appointment are one case before you drive out.

02 · Live as draft

Quote

After the visit, Griffi prepares a quote draft from your details. You check the items and prices.

03 · Manual handoff

Interim payment

Deposit and interim invoices are not an automated Griffi feature; they stay in your existing process.

04 · Live as invoice draft

Final invoice

Once you have checked the work, a standard invoice can be prepared, reviewed by you and sent manually.

Important: down-payment and partial invoices are not currently a dedicated automated Griffi feature. Interim payments remain in the company’s existing invoicing process; Griffi records information and tasks without promising automation that does not exist.

Emergency service & on-call duty

Storm damage follows your rules, and danger is never played down.

  • Loose tiles or pieces that could fall, injured people or water near electrics lead to the fixed safety message: keep clear and call the emergency services.
  • Griffi never asks anyone to climb onto the roof and gives no instructions for securing or sealing it.
  • What counts as urgent, your service area, the callback order and any call-out fee follow only the rules you have approved.

Live handover to the company is used only when enabled with a valid on-call number and suitable telephony configuration. Otherwise Griffi records a structured urgent callback. For immediate danger, callers must contact emergency services themselves; Griffi never transfers to emergency services.

Frequently asked questions

What does Griffi do when someone calls about storm damage?

Griffi records the address, the callback number and the visible damage and asks about danger signs first. If there is danger, Griffi tells the caller to keep clear and call the emergency services themselves. Otherwise it records an urgent callback under your rules. Griffi only puts the call through to your on-call number if you have set up that handover.

Does Griffi assess the damage or the price?

No. Griffi asks the questions you have set and records the answers. Whether the roof is repaired or re-covered, and what it costs, is decided by your business after the site visit.

Can Griffi book site visits?

Yes, with the Appointments & Follow-up module in addition to the AI Phone. Griffi then offers free slots from your Google or Microsoft calendar or from fixed time windows. Without the module, Griffi notes the preferred time and you call back.

Does Griffi write the quote for a re-roofing job?

Griffi prepares a quote draft, for example from what you dictate after the site visit. You check the items and prices, approve the quote and send it yourself.
