Three typical enquiries

How Griffi takes the enquiry.

Scenario 1

A fitted wardrobe under a sloping ceiling

Call: A customer wants a made-to-measure wardrobe under the slope in her bedroom and asks when someone can come to measure up.

Questions Griffi asks

  1. Record the room, the address and the callback number.
  2. Note rough dimensions, clearly as the customer states them.
  3. Note material and colour wishes, such as oak or white lacquer.
  4. Clarify the preferred timeframe and offer a measuring appointment or note a callback.

Outcome: A complete enquiry with an appointment or a callback. You take the binding measurements on site and settle the specification and price afterwards.

Scenario 2

New internal doors

Call: A flat owner wants the old room doors replaced.

Questions Griffi asks

  1. Clarify whether the caller is the owner, a tenant or the managing agent, and who places the order.
  2. Note the number of doors and whether the frames stay, as the caller states it.
  3. Record wishes such as the finish, a glass panel or the lock.
  4. Ask about the preferred timeframe and when someone can be there for a visit.

Outcome: The case shows who places the order, what is to be replaced and what is wanted. You settle measurements and price on site.

Scenario 3

A door or window after a break-in

Call: After a break-in, the flat door no longer locks, and the tenant asks who can come today.

Questions Griffi asks

  1. Record the address, the callback number and the contact person on site.
  2. Ask whether anyone is injured or feels threatened.
  3. Note what is damaged and whether the door or window still closes.
  4. Clarify who places the order, for example the tenant, the landlord or the managing agent.

Outcome: If there is danger: call the emergency services. Otherwise an urgent callback under your on-call rule, with every detail in the case.

Quotes and invoices

Which documents Griffi prepares.

01 · Live

Measuring up

Enquiry, room, wishes and the agreed appointment are one case before you drive out to measure.

02 · Live as draft

Quote

After measuring, Griffi prepares a quote draft from your details. You check the items and prices.

03 · Manual handoff

Deposit

Deposit and interim invoices are not an automated Griffi feature; they stay in your existing process.

04 · Live as invoice draft

Final invoice

Once the work is fitted and signed off, a standard invoice can be prepared, reviewed by you and sent manually.

Important: down-payment and partial invoices are not currently a dedicated automated Griffi feature. Interim payments remain in the company’s existing invoicing process; Griffi records information and tasks without promising automation that does not exist.

Emergency service & on-call duty

Urgent calls after a break-in follow your rules.

  • Injured people or an immediate threat lead to the fixed safety message: call the emergency services.
  • Griffi gives no instructions for securing a door or window temporarily.
  • What counts as urgent, your service area, the callback order and any call-out fee follow only the rules you have approved.

Live handover to the company is used only when enabled with a valid on-call number and suitable telephony configuration. Otherwise Griffi records a structured urgent callback. For immediate danger, callers must contact emergency services themselves; Griffi never transfers to emergency services.

Frequently asked questions

Does Griffi quote a price for the wardrobe on the phone?

No. Griffi asks the questions you have set and records the room, the dimensions and the wishes. What is built and what it costs is your decision after measuring up.

What if the customer’s dimensions are wrong?

Griffi records dimensions only as the caller states them. They help you prepare the visit. Your own measurements are what count.

Can Griffi book measuring appointments?

Yes, with the Appointments & Follow-up module in addition to the AI Phone. Griffi then offers free slots from your Google or Microsoft calendar or from fixed time windows. Without the module, Griffi notes the preferred time and you call back.

Does Griffi write the quote for fitted furniture?

Griffi prepares a quote draft, for example from what you dictate after measuring up. You check the items and prices, approve the quote and send it yourself.

What does Griffi do when someone calls after a break-in?

Griffi records the address, the callback number and what is damaged, and asks whether anyone is injured. If there is danger, Griffi tells the caller to call the emergency services themselves. Otherwise it records an urgent callback under your rules. Griffi only puts the call through to your on-call number if you have set up that handover.
