Griffi for painters and decorators: your calls answered while you are up the ladder.

A flat before the move, a facade or doors to repaint: Griffi answers the call, asks the questions you set and files the rooms, the preferred timeframe and the callback number as one case. Visiting, pricing and approving stay with you.

Fictional, synthetically generated example call. Real Griffi views (German interface) with sample data.

Three typical enquiries

How Griffi takes the enquiry.

Scenario 1

Repainting a flat before moving in

Call: A tenant is moving soon and wants three rooms and the hallway painted before moving in.

Questions Griffi asks

  1. Record the address, callback number and contact person.
  2. Note the rooms and the state of the walls as the caller describes it, such as woodchip paper, plug holes or old wallpaper.
  3. Clarify the timeframe: key handover, moving date and whether the rooms will be empty.
  4. Record access to the flat and offer a site visit or note a callback, depending on your setup.

Outcome: A complete enquiry with rooms, time window and access. Your team settles areas, surfaces and price at the visit.

Scenario 2

Repainting a facade

Call: A homeowner wants the outside of his house repainted because the paint is peeling on the weather side.

Questions Griffi asks

  1. Clarify whether the owner, the owners’ association or the managing agent places the order.
  2. Record the building type, address and number of storeys; size only as the caller states it.
  3. Note what the caller can see, such as peeling paint or cracks, with no remote assessment.
  4. Record the preferred timeframe and access around the house, such as a driveway, garden or neighbouring property.

Outcome: The case shows who places the order, what is visible and how your team reaches the house. Whether scaffolding is needed and how the surface is prepared, you decide on site.

Scenario 3

Repainting after water damage

Call: A managing agent reports a water stain on the ceiling and wall of a rented flat and needs a visit arranged with the tenant.

Questions Griffi asks

  1. Record who places the order, the property and the tenant’s contact for access.
  2. Note the insurance claim number, if there is one.
  3. Ask whether the caller says the cause has been fixed, and note where the stain is and how big it is.
  4. Ask when the tenant is available for a site visit.

Outcome: Everyone involved and the access are in the case. Whether the area is dry and what is needed before painting, your team checks on site.

Quotes and invoices

Which documents Griffi prepares.

01 · Live

Site visit and measurements

Enquiry, rooms and the agreed appointment are one case before you drive out.

02 · Live as draft

Quote

After the visit, Griffi prepares a quote draft from your details. You check the items and prices.

03 · Manual handoff

Interim payment

Deposit and interim invoices are not an automated Griffi feature; they stay in your existing process.

04 · Live as invoice draft

Final invoice

Once the work is finished, a standard invoice can be prepared, reviewed by you and sent manually.

Important: down-payment and partial invoices are not currently a dedicated automated Griffi feature. Interim payments remain in the company’s existing invoicing process; Griffi records information and tasks without promising automation that does not exist.

Frequently asked questions

Does Griffi tell callers what the painting will cost?

No. Griffi asks the questions you have set and records the answers. How large the areas are, what the surfaces need and what it costs, your business settles at the site visit.

Can Griffi book site visits?

Yes, with the Appointments & Follow-up module in addition to the AI Phone. Griffi then offers free slots from your Google or Microsoft calendar or from fixed time windows. Without the module, Griffi notes the preferred time and you call back.

Does Griffi write the quote for the job?

Griffi prepares a quote draft, for example from what you dictate after the site visit. You check the items and prices, approve the quote and send it yourself.

What if a managing agent calls on behalf of a tenant?

Griffi asks who places the order and records the contact for access to the flat separately, if you have set up those questions. So before you call back, you know who to arrange the visit with and who receives the quote.
