Synthetic quote-request example

Capture the need, book a site visit, preserve professional review.

In this fictional call, Griffi records the building type, intended mounting point and approximate cable route. It does not promise a reliable quote: design and price follow the qualified electrician’s inspection.

Griffi: Good morning, BrightWire Electrical Limited. This is Griffi, our digital assistant. What can we help with?

Caller: Good morning, this is Miss Taylor. We would like an electric vehicle charger installed in our garage and need a quote.

Griffi: Is this a detached house, and do you already have an intended mounting position?

Caller: Yes. The position is beside the garage door, about twelve metres from the distribution board.

Griffi: A qualified electrician must inspect the installation before a reliable quote. Would Friday at eight work for the site visit?

Caller: Yes, Friday at eight works.

Griffi: Thank you. I recorded the detached house, garage location, roughly twelve metres of cable route, and the appointment. Technical design and price follow only after the professional inspection.

How to read these figures

The time reduction comes from one pilot client’s reported before-and-after comparison for receipt administration, rounded to a whole percentage. The effort depends on document volume and workflow.

Usage figures are a snapshot on 4 September 2026 for 1 July – 4 September 2026: reply drafts visible in the inbox and invoices issued in Griffi. Drafts are prepared replies; issued invoices do not establish delivery or payment.

Additional records: 18 calls with a recorded positive connected duration in the carpentry pilot during 2 – 4 September 2026. Snapshot: 4 September 2026. Answered connections do not establish that enquiries were fully resolved or that human callbacks were avoided.

Report from the carpentry pilot dated 5 September 2026: 120 unanswered voicemail messages in 1 week before Griffi, 0 outstanding messages with Griffi and a reply to every customer within 24 hours. These are figures reported by the business, not independently measured results or a general promise of future response times.

The flow in three steps

01

Ask defined questions

The company decides which details are needed for a qualified quote request.

02

No remote design

Technical design, feasibility and price remain with the responsible professional.

03

Secure the next step

Griffi can confirm a suitable survey slot and keep the captured facts together in the case.

Recorded, not forgotten

What Griffi records from the call and hands over.

Contact and request

Who is calling and what is planned, in the example, an EV charger at their own building.

Captured details

Building type, mounting point and approximate cable route. Your company defines which fields are required.

Confirmed site visit

The booked survey appointment with its time is stored in the case.

Next step

Professional review and quote preparation stay attached to the same case as a task.

Clear boundaries

What Griffi deliberately does not do.

  • Promises neither price nor feasibility. Design stays with the responsible professional.
  • Makes no remote diagnosis and does not replace the on-site inspection.
  • Asks only for the details your company has approved.
  • Books a site visit only when appointment booking is active.

Requirements

The flow shown runs on the AI Phone module (€89 net per month) in addition to a Griffi base plan; it is already included in Premium. Rules, follow-up questions and handover paths are defined during setup.

  • Quotes, delivery notes and invoices are included in every base plan, from Griffi Light (€49 net per month). Documents are not a separate module.
  • A shared document pool is counted: 20 / 150 / 750 finalised documents per calendar month per base plan.
  • The request by phone adds the AI Phone module; a site visit in the same call additionally needs Appointments & Follow-up (€39 net per month).
  • The AI web chat with human live takeover is included in every base plan at no extra cost.

All amounts are net plus statutory VAT. Full base plans, limits and billing detail are on the pricing page.

Frequently asked questions

Does Griffi quote a price on the phone?

No. Design, feasibility and price follow only after review by the responsible professional. Griffi invents neither technical nor commercial commitments.

Which details does Griffi capture?

The fields your company defines during setup, in the example, building type, mounting point and approximate cable route.

Can Griffi book the site visit directly?

Yes, when appointment booking is active for the line: Griffi offers suitable free survey slots and confirms the chosen one. Otherwise it records a structured callback request.

Where do the captured details go?

Contact, request, details and next step stay together as one case in HQ, ready for professional review and quoting by your team.

Does Griffi write the quote itself?

It prepares it. In HQ the case becomes a quote draft, typed or spoken as dictation. A person reviews, approves and sends it. Quotes and invoices never go out on their own.

What happens with a request that does not fit us?

Griffi says honestly that the service does not belong to the business and creates no quote request for it. A clear no beats a request nobody can process.

Does this later become an e-invoice?

Yes. From the quote, order confirmation and delivery note, HQ produces an invoice, on request as a hybrid PDF with embedded invoice data in ZUGFeRD/Factur-X (EN16931). Required-field checks do not replace tax or legal review of the individual case.
